Who manages your data

Vondasi is a consulting service run as a sole proprietor by Panji M. Al Latief, Bekasi, Indonesia, who manages the data you provide when booking a consulting session.

Data collected when you book

When you book a session on the booking page, we store the following. Please do not enter other people's personal data or sensitive data (such as biometric or health data) in the form.

• your name and email address;
• your time zone and the session time you chose;
• pre-session form answers: business/industry and team size, the most troublesome problem with an example, how you handle it today, and its rough impact (optional);
• your consent to this processing, which must be ticked before booking.

During and after the session

We take written notes of the discussion. A session is only recorded if you tick the recording consent in the booking form; without it, the session is not recorded. When recording starts, every participant sees a notice on screen.

If recorded, the recording (video and audio) is stored on our server in Indonesia. The audio is sent to Deepgram (a transcription provider that may process data outside Indonesia) to produce a transcript, and the transcript is sent to an AI service (SumoPod) to produce notes. Recordings, transcripts, and notes are deleted automatically within 30 days after the session.

Booking data and session notes are kept in our own client records system (CRM), together with internal notes on industry, company size, and type of problem to understand common needs. These notes are not published with your identity without written permission.

AI assistance in preparing sessions

To prepare sessions and draft summaries, your form answers and session notes may be sent to an AI service (SumoPod and the model providers it uses, which may be outside Indonesia). Your name and email are not sent, email addresses and phone numbers inside the text are masked automatically, and every AI draft is reviewed by the owner before use. AI does not make any decision about you.

Purpose and legal basis

The basis is the consent you give when booking. The data is used:

• to schedule and run the consulting session;
• to send confirmation, reminder, and session summary emails;
• to keep internal notes as described above.

How long data is kept

Booking data, form answers, and session notes are kept for at most 12 months after your last session, then deleted or anonymised. If a session leads to a project, the data needed is kept as set out in the project agreement. Daily backup copies are removed within 14 days after the data is deleted.

Who processes the data

Data is stored on a server owned by the site owner, located in Indonesia. Session video calls also run on that server (LiveKit), not through a third-party video service, and are only recorded with your consent. Data may be processed by the following providers; some may process data outside Indonesia.

• Mailspace (Indonesia), the email provider for vondasi.biz.id, for confirmation and reminder emails;
• SumoPod and the AI model providers it uses, for session preparation, summary drafts, and notes as described above;
• Deepgram, for audio transcription, only for sessions you agreed to have recorded;
• the server's internet connection provider (Indonesia), which only carries encrypted traffic.

Cookies and trackers

The vondasi.biz.id site uses no cookies or trackers. The booking button opens a form from book.panji.tech (which we run) without cookies.

The booking page stores only one language-preference cookie, and only if you change the language on that page. We do not install third-party analytics.

Your rights

You can request access to, correction of, or deletion of your data, or withdraw your consent, by contacting the email below. We respond within 3 x 24 hours of receiving the request.

Security

Data is stored on a server owned by the site owner and can only be accessed by the owner: the CRM with a password and two-step verification, the booking admin with a password. Connections to the site, booking page, and CRM are encrypted (HTTPS). Daily backup copies are kept on the same server. No system is 100% secure, but we limit access and collect as little data as possible.
